She and the senior management team used some of the tools discussed in Unit 2 to make the decision. They had a gut feeling that this new section of town would be quite the up-and-coming area over the next decade.[/FONT]

[FONT="]You know from your training that as a member of senior management, he should develop a project requirements document and project charter to launch the project. When you suggest this is Joe, he raises his eyebrows. You quickly follow up by saying that maybe you can get a few things on paper for his okay, just to make sure that you understand Good Answers' needs correctly. He visibly relaxes and agrees. You have been making notes as things on this project have developed and hope your memos will be a good start for the document.[/FONT]Your Task
[FONT="]Take the information you have, as well as ideas that emerge as your team discusses the project, and develop a draft project requirements document and project charter. Use the tools section templates to get you started. Remember that you will have to use your experience and intuition to suggest some entries where the information has not been given directly to you.[/FONT]

NOTE TO SELF, JANUARY 10
à[FONT="] Ima opened with normal company status stuff. The company is growing well and she paints a very positive picture of the future of the call-in technical support business. As she spoke, however, most people seemed ready to fall asleep.[/FONT]
à[FONT="] About 20 minutes into the speech, Ima surprised everyone by suggesting the company expand floor space (currently 20,000 square feet on two floors) to aid growth.[/FONT]
à[FONT="] My boss, Joe Storum, chief of facilities, perked up quickly. He has complained for months about needing to add 5,000 square feet to the storage area to handle the overflow of equipment now stored in hallways. Joe wants to take over the unoccupied space on the third floor.[/FONT]
à[FONT="] The Operations VP reminded Joe about the number of technical support operators she will need by the end of next year and the work space to support them, an addition of approximately 8,000 square feet.[/FONT]
à[FONT="] Although Ima used the phrase "$200,000-$300,000" when talking about cost, Sal Reigh, the company controller, squirms anytime she mentions money. Last month over lunch, he told me the company has a clear cash flow problem.[/FONT]
à[FONT="] Ima hopes the change can be complete by the "end of the summer".[/FONT]
[FONT="]It is clear Ms. Prez want to move into larger quarters but the idea has not been well thought out. A major "challenge" lies ahead for someone on this one![/FONT][FONT="] [/FONT] NOTE TO SELF, JANUARY 31
à[FONT="] Ima and Joe signed a tentative agreement with Columbia Management for 35,000 square feet space on the third floor of a new building about 10 blocks down the street for occupancy August 1.[/FONT]
à[FONT="] Joe's brother-in-law runs a local moving company.[/FONT]
à[FONT="] Sal Reigh, Controller, is still worried about cash flow but has worked out an agreement with Columbia Management for them to build out the new facility at no direct cost to Good Answers in exchange for a a higher rent. They are doing this for several other new tenants as well.[/FONT]
à[FONT="] The company business usually slows down to last 2 weeks in July. Operation wants to use this time for the move.[/FONT]
à[FONT="] Meg Abytte, the IT chief, has planned and budgeted for a complete system upgrade in the next year's budget (new FY starts September 1).[/FONT]
à[FONT="] The new office building is next door to the Chamber of Commerce; Meg is the new chamber president.[/FONT]
à[FONT="] Despite the general business downturn, Good Answers continues to grow.[/FONT]
à[FONT="] D.P. Dougue, the vice president of Good Answers is trying to temper Ima's desires for a MAJOR executive suite in the building.[/FONT]
à[FONT="] Department heads seem very supportive of the move, but there is much low-level grumbling among the ranks.[/FONT]
[FONT="]My challenge is now taking shape. But I am not exactly sure I know where to start.[/FONT]
NOTE TO SELF, MARCH 15
[FONT="]Notes from today's staff meeting that I attended as Joe's guest:[/FONT]
à[FONT="] Ima is very supportive of the move and wants a complete status review during the April leadership retreat. It seems there is still some resistance and this briefing will lead to a final go/no-go decision.[/FONT]
à[FONT="] Joe wants a full plan in place by the "beginning of the summer".[/FONT]
à[FONT="] The company's lease on the present headquarters building expires on September 10.[/FONT]
à[FONT="] The finance department apparently has been talking to moving companies. They indicate the primary cost of a move of this size is the packing of individual offices.[/FONT]
à[FONT="] Some department heads are bickering over office locations in the new building. The east side has a much better view of the city than the west.[/FONT]
[FONT="]I think it all will still work, but I had better have my act together for the April meeting.[/FONT]
